Job Title: Purchase Executive
Role Overview
We are seeking a detail-oriented and proactive Purchase Executive to join our procurement team. This role involves managing the sourcing, negotiation, and purchasing of materials, components, and services required by the organization. The ideal candidate will have strong analytical and negotiation skills, a good understanding of supply chain processes, and the ability to maintain effective relationships with vendors to ensure timely and cost-effective procurement.
Key Responsibilities
Procurement & Sourcing
• Identify, evaluate, and select reliable suppliers and vendors based on price, quality, and delivery capabilities
• Request and analyze quotations, negotiate terms, and issue purchase orders in alignment with company policies
• Ensure procurement of the right quality materials at the best possible cost within required timelines
• Maintain up-to-date records of supplier information, catalogs, and market trends
Vendor Management & Relationship Building
• Build and maintain strong vendor relationships to ensure long-term collaboration
• Conduct regular performance reviews of suppliers (delivery time, quality, service)
• Resolve vendor disputes or issues and ensure contractual obligations are met
• Collaborate with new vendors for product innovation, better pricing, or improved delivery terms
Order Management & Coordination
• Process purchase requisitions from departments and convert them into purchase orders
• Coordinate with internal departments (inventory, production, accounts) to understand procurement needs
• Track the status of orders and ensure timely delivery of goods and services
• Follow up with suppliers on order confirmations, dispatch, and delays
Inventory & Cost Control
• Work closely with inventory teams to monitor stock levels and avoid over- or under-purchasing
• Support cost control initiatives by analyzing historical purchasing data and identifying savings opportunities
• Recommend alternative products or suppliers for cost reduction or quality improvement
• Maintain optimal inventory levels without compromising operations
Documentation & Compliance
• Ensure all procurement documents (POs, invoices, GRNs, contracts) are accurate and up to date
• Assist in audits and ensure compliance with internal procurement policies and external regulatory requirements
• Maintain records of purchases, pricing, and vendor performance in the ERP system
Team Collaboration & Reporting
• Coordinate with finance for timely payments and budget alignment
• Prepare regular reports on procurement activities, price trends, and supplier performance
• Participate in cross-functional meetings to align procurement with business goals
• Share insights and improvements with team members for more efficient sourcing practices
Preferred Skills & Qualifications
• Proven experience in procurement or supply chain roles, preferably in a manufacturing or trading environment
• Strong negotiation and communication skills
• Sound knowledge of procurement strategies, vendor management, and cost analysis
• Familiarity with ERP systems (e.g., SAP, Oracle, Tally ERP)
• High attention to detail and accuracy in processing orders and maintaining records
• Ability to multitask and work under pressure in a fast-paced environment
• Bachelor’s degree in Business Administration, Supply Chain Management, or related field
• Certification in procurement or supply chain (CIPS, CSCP) is a plus
